Events Coordinator

BIRMINGHAM BOTANICAL GARDENS IS LOOKING FOR A NEW EVENTS  COORDINATOR TO JOIN OUR IMPORTANT CHARITY. 

Our mission is to support plant biodiversity and an understanding of its importance to the natural environment through conservation, education, engagement and enjoyment. 

As an Events Coordinator, you will play a vital role in shaping the future and the direction of the Events in our Gardens, which are a much-loved part of Birmingham’s landscape and heritage. We are looking for an enthusiastic, passionate and experienced candidate with a range of skills who can help deliver the core ethos of our charity.

The Events Coordinator will work closely with the Head of Operations to create and organise excellent events. You will be responsible for every aspect of an event, from concept to evaluating success afterwards. Birmingham Botanical Gardens are self-funding with events being a vital source of income as well as a valuable marketing tool to reach new and existing  audiences

The candidate must be well-organised, creative and be able to demonstrate previous success in organising events for a high quality Visitor Attraction. Communication skills, passion and attention to detail are key.

The goal is to create great quality, value for money, fun and unforgettable events that will develop an outstanding customer experience, increasing visitor loyalty to achieve our charity’s objectives.

The Role: 

  • Creating and developing event concepts that meet our customer expectations
  • Plan events with attention to financial and time constraints
  • Managing and overseeing events on the day of, including problem-solving, preparing the gardens, directing event set-up, communicating with staff, and organising vendors
  • Communicating with marketing to create effective advertisements for each event, and when necessary crafting marketing materials such as print and Internet advertisements for individual events
  • Planning multiple events at once
  • Issuing invoices in a timely manner, and creating comprehensive and readable financial reports
  • Understand requirements for each event
  • Research and co-ordinate suppliers (catering, musicians etc.) and choose the best combination of quality and cost
  • Do final checks at the day of the event to ensure everything meets standards
  • Evaluate event’s success and submit reports

Requirements:

  • Proven experience organising successful events
  • Excellent management skills
  • Outstanding communication and negotiation ability
  • Well organised with multi-tasking skills
  • Able to handle pressure and remain calm
  • Problem-solving ability
  • Enthusiastic and positive approach
  • Experience working with budgets
  • Computer literate
  • Qualification or equal experience in event management, public relations or relevant field is preferred

Salary £22,000 per annum

32 hours a week
